Recruitment Milestones allow you to categorise all of your application & hire statuses, as well as your action outcomes, to simplify your reporting. Whilst you may have several different types of interviews across the business, classifying them all as interviews will allow you to more easily report on the number completed each week, as well as measure the time taken to reach each stage of your process. This also applies to your different withdrawal or rejection reasons, helping to simplify your process.
Understanding Recruitment Milestones
There are 7 different milestones for you to use, with each being available to set within your Application & Hire Statuses, as well as your Action Outcomes. When the candidate then reaches a milestone, it will be recorded on the application along with the status, allowing you to measure the time between each milestone.
- New Application - This should be set for any application status reached once it has been fully submitted by the candidate.
- Reviewed - This milestone is for when the application has progressed beyond New and is currently being screened, reviewed, phone interviewed or shortlisted.
- Interviewed - This should be applied to all the different types of first and second interview in your process, including things like assessment centres, video or group interviews.
- Rejected - This milestone helps to organise all of the different rejection reasons you may use, when screening out candidates. It means that you can categorise all of those that are automatically rejected, don't meet the minimum requirement or fail any screening forms together, to simplify your reporting.
- Offered - This can be used to indicate that an offer has been made to the candidate to begin onboarding, but has not yet started the process.
- Hired - Once the offer has been accepted and the candidate completes onboarding, they can classified as Hired.
- Withdrawn - This milestone can be used to organise all candidates who withdraw from your process, regardless of the different stages that they reach.
Note - A milestone will be recorded the first time the applicant reaches the relevant status, so if you have multiple statuses that are categorised as a milestone, it will be set when the applicant reaches the first status using that milestone.
Setting Recruitment Milestones
When you are ready to configure your milestones, click Admin > Drop Down Lists from the Eploymenu. This will give you access to all the different lists in your system, where you can select any of the following to set your milestones against your statuses:
- Application Statuses
- Action Outcomes
- Hire Statuses (may also read Placement Statuses)
After selecting the appropriate list, you will see any recruitment milestones that have been set in the grid, allowing you to click into the Description to configure as required.
Note - Not every status / outcome needs to be assigned to a milestone. Only configure Recruitment Milestones where the status aligns appropriately. For example, you do not need to set a milestone for Incomplete Applications, as they are not considered New Applications until they have been complete / submitted. This will ensure that the milestone is only updated when the candidate reaches an appropriate stage.
Hint - Any applications set with the Rejected recruitment milestone will then be prevented from withdrawing their application in the candidate portal. Learn more about Candidate Withdrawal here.
Sending Milestones to Indeed
As part of our Indeed Apply integration, you can decide if you want to send the Recruitment Milestones for each application back to Indeed. This is referred to as disposition data and helps Indeed with their analytics, so they may request that you do this.
In order to set this up, go into your Indeed Apply job board settings and scroll to the bottom of the configuration screen. Here, you will be able to opt into sending Recruitment Milestones to Indeed.

Measure Between Milestones (Time to Hire Reporting)
Once you have configured your Recruitment Milestones, you can begin to measure the time applications take to reach each milestone for the first time. Using our Dashboards & Analytics suite, you can then split this data over time to track improvements or look at performance across different key business areas & departments.
To do this, create an Application Metric, which looks at the average time between the two milestones you are interested in. In this example, the metric is measuring the Days taken to reach Interview, from the Reviewed (shortlisted) milestone. You can copy each metric and tweak the milestones you wish to measure between.

Referral Points with Milestones
As part of our Employee Referrals module, your teams have been able to get points based on the progress of referred applicants, through the apply & offer stages. With the introduction of Recruitment Milestones, you can now accrue points for each milestone the application reaches, further enhancing the gamification available as part of the Employee Portal.

Candidate Withdrawal
Recruitment Milestones also now play a factor in the candidate withdrawal process. Any application which is at a milestone of Rejected will not be available to the candidate withdraw in the portal. Learn more about configuring Candidate Withdrawal here!
