The Bulk Action tool will allow you to quickly make whole changes to 1000s of records, whether it be company details on a vacancy, setting the source on applications or changing the preferences of candidates. You can pick any field from the records you are looking to update, as well as decide if you need to append, overwrite or clear the content.
Using the Bulk Action Tool
Throughout Eploy, where ever the Bulk Action tool is available, you will find it on the toolbar across the top of the page. This includes organisations and contacts, candidates, vacancies and applications, plus then placements, vacancy templates and actions too.
Hint - As well as editing fields on the record, you can also use the Bulk Action tool to update rates & salaries. For more information on using the pay rate updater, please see here.
To use the Bulk Action tool, you need to first select the records you wish to update from the grid. The maximum number of records you can select is 10,000 but we would not recommend attempting to update this many records in one go! If you do have exceedingly large numbers of records to update, we would recommend breaking them down into smaller batches.
Once you have selected the appropriate number of records, click Bulk Action, then Edit (if applicable). The tool will open and confirm the number of records selected, as well as allow you to chose the fields to update. From the drop down list, pick out the fields that you plan to bulk edit before clicking Next.
You will then be able to decide on the type of change applied to the field, based on the type of field. For free text, you will be able to replace or clear the content, whilst user pickers will also allow you to append the relationship (add the user without overwriting the ones already associated!).
Once you have entered your changes, clicking Next will begin to process the records & you can track your progress with the changes. After the process is complete, you will see a summary of the changes that have been complete and can be acknowledged by clicking Finish. You can also view the updated records before doing so.
Repeat this process for any other records you need to update on mass.
