The Users and Groups tabs are where you can prepare your data within Eploy to be imported, prior to activating the tool. This allows you to correct any errors, allocate permissions to your groups and determine which user type is set up for each imported record.
Users
When you click into the User tab withing User Provisioning, you will be presented with any users who would be imported via the sync with your directory provider. If you have not yet activated the provisioning within your directory, then no records will be displayed yet.
In order to sync your users, you first need to set up Provisioning within your directory. For more information on how to do this within Azure, please see the help content available here.
Following the activation of Provisioning within Azure, your users will begin to display within Eploy. However, this process can take some time so please ensure it is configured correctly within Azure and be patient whilst the sync takes place.
When users have sync'd you will then be able to see the information within Eploy and use the dashboard widgets to track the state of the data:
- Will be Imported - This figure will be all of the records who are eligible to be imported, based on your configuration and have no errors.
- Will be Updated - This shows the number of records which are already on Eploy and therefore will be updated when the tool is activated.
- Will Not Be Imported - Duplicate Contact External IDs Found in Eploy - This will show you the number of records where there are duplicate external IDs, but the details don't match the existing records.
- Will Not Be Imported - Duplicate Company External IDs Found in Eploy - This displays the records that are flagging as a duplicate, due to the company external ID included in the data.
- Will Not Be Imported / Updated - Company External ID Not Found in Eploy - This means that the company external ID included does not match any company records currently in the system.
- Will Not Be Imported - Incomplete / Invalid Data Found in Source - This indicates if there is a problem with the data that is being imported and is preventing Eploy from creating a user.
You can use these widgets to troubleshoot, correct any data issues and prepare for import.
Once your data set is complete, you can then prepare your groups and permissions.
Groups
This tab will appear with a blank dashboard if the provisioning has not yet been activated within your directory provider. Once activated, your groups will be displayed, along with a summary of Standard Users / Hiring Managers / Employees to be imported, updated, deactivated or reactivated.
Click into each group to determine the group behaviour, including user type & permissions. Based on the records included in each group, you can determine if they should be Standard Users, Hiring Managers or/and Employees. Simply tick YES for each user type required and allocate the appropriate roles / permissions for the new / updated user.
Once configured, click Save and repeat for each group. After configuring the final group, you can return to the settings page to activate the tool when you are ready.
