User Provisioning will allow you to manage all of your users, including Core System, Hiring Managers & Employees from your central directory, automatically creating, deactivating and adding permissions & roles as required.
In order to set this up, you will need to access an Admin account within your provider. The instructions below describe the steps for Azure / Office 365 so if you using an alternative then the steps may differ.
To learn about how to configure User Provisioning within Eploy, please see here.
Configuring Within Azure / Office 365
Hint - If you have already set up the application for SSO, you do not need to a new application, you can skip to Provisioning.
First, log in to the Administrator's account within Office 365 or Azure and navigate to Enterprise Applications, then click New Application.
From the Azure AD Gallery, click Create your own application.
The next step will be to give the name of the app, which you should enter as Eploy. You can then select Integrate any other application you don’t find in the gallery (Non-gallery) and click Create.
Office 365/Azure will now walk you through the rest of the process, starting with creating your user groups. These groups will be used to determine the access within Eploy, when you configure the integration within the Eploy Interface.
Use the Add user/group option to select those employees who should be given access to Eploy, creating groups for your Hiring communities, as well as your Employees and for your Core System users.
Hint - As users can have multiple roles, you can include them in multiple groups. Consider what type of access they need, as well as which roles they should be allocated within Eploy when setting up your groups.
Once you have configured your groups, you can then decide if you want to set up SSO, which will aid with users getting access to the system. It is recommended that SSO is set up with User Provisioning, so to learn more, please see our supporting guide.
Provisioning
The next step would be to set up the provisioning, which is option 3 or available within the menu on the left hand side.
To do this, you will need to enter the Tennant URL and the Secret Token, both of which are available within Admin - User Provisioning in your Eploy core system. To learn more about where to find this and how to configure user provisioning within Eploy, please see this help content.
As well as entering the access information, you will need to ensure that all of your fields are mapped correctly. There are a set of fields required by Eploy to allow for User Provisioning, which can either be individually mapped or you can find our standard configuration template available below. You can import this before tweaking any of the mapping as required.
For the full list of fields that require to be mapped & recommended mapping, please see below:
Once mapped, you are then ready to activate within Azure, prompting the provisioning to take place. Depending on the number of users, this can take some time; however, once complete, you will be able to view the sync within Eploy, under Admin - User Provisioning.
