During Phase 2 of the Implementation process, while your Implementation Manager is busy building your new Eploy system according to your specifications, you will be asked to plan your activities for Phase 3, which is the Customer Configuration phase.
During the Customer Configuration phase you’ll be let loose on your brand new system and asked to spend time setting up all of the aspects of the system which are readily configurable by an end user – this includes areas such as your Email and Vacancy Templates, additional Recruitment and Authorisation Workflows, Security Settings, Documents and Forms.
We really want to help you hit the ground running with these activities, and to that end, have designed two 2.5hr webinars, ran every two weeks, to fully explore the areas of the system you'll be asked to configure.
Why are there 2 sessions, and what is covered?
As part of Phase 2 and 3 of your Implementation, you'll be asked to plan for, and then configure, the following areas of your system:
- Drop Down Lists
- Vacancy Templates
- Authorisation Workflows
- Application Forms
- Email Templates
- Recruitment Workflows
- Onboarding Forms
- Offer Letters, Contracts and other Document Templates
- Reference Collection Settings
- Job Alert Settings
- GDPR Settings
Whilst it's really important that you configure these areas of the system, we're obviously aware that everyone has a day-job to do, so to reduce the burden on your diaries, we've broken down the list in to two sessions.
Session 1 looks at:
- Vacancy Templates and Vacancy Drop Down Lists
- Vacancy and Placement Authorisation Workflows and associated Email Templates
- Application Discover Forms and Form Flows
- Candidate Notification email templates
- GDPR Settings
- Password and Security Settings
Session 2 looks at:
- Recruitment Workflows and Workflow specific Drop Down Lists
- Email, SMS and iCal Templates
- Onboarding Discover Forms and Form Flows
- Reference Collection and Job Alert Overview
- Document Templates
We'd strongly recommend that you attend both sessions, but as you can see, there is an element of repetition in the two sessions - this means that if you'll only be responsible for configuring Onboarding and Document Templates, for example, rather than sitting through a few hours of content you won't necessarily need, you can just attend the second session.
When should I attend these sessions?
You're welcome to attend these sessions at any time throughout your Implementation, but we'd recommend, as a minimum, that you attend these sessions during Phase 2 of your project.
Attending at this point ensures you have enough time to plan your configuration activities, based on the knowledge gained throughout the sessions, but it also means that there won't be too much of a gap between learning how to do something and actually doing it in your live system during Phase 3.
Tip These sessions are show and tell style sessions, meaning you won't be given a login to a training system. You might find it beneficial to log in to your Demo system during the training to follow along. You can also practice what you've learnt in your demo system after the session. If you don't have access to your demo system, please speak to your Implementation Manager before attending the training - there will be no opportunity to fix access issues to your demo system during the sessions.
Who should attend these sessions?
Anyone who will be involved in your Customer Configuration phase activities.
The main thing to remember here is that both sessions will be based exclusively within the Core System (though we will go in to the Hiring Manager and Candidate Portals for context) - so anyone who will be only accessing the Hiring Manager portal won't be able to apply anything covered in the session, and should not attend.
How much does it cost?
Nothing. Nada. Nil! These sessions are included in the cost of your Implementation.
