NEW EPLOY TECHNOLOGIES
Welcome to the second issue of Eploy Innovations in 2023. This release has a stack of new features, so let’s take a look....
NEW! Structured Reviews
Now you can ensure consistent application, interview feedback, and scoring with Eploy’s new Structured Reviews technology.
With Structured Reviews, you can:
- Visually design your feedback model using Eploy Flows
- Build scored & graded shortlisting and feedback forms using Eploy Discover
- Gather structured feedback at any stage of your recruitment workflows
- Create review panels including multiple reviewers and define the level of feedback from others that they can view
- View, export and print responses
NEW! Compliance Management
Managing hiring compliance is critical to every organisation. Whether it’s to meet statutory or regulatory requirements, reduce risk or drive efficiency - catching issues early is good - but better still if you can prevent them altogether. Eploy’s new Compliance module has you covered.
Eploy Compliance enables you to create rules that will prevent a candidate from moving through your hiring process unless a condition or series of conditions are met. Leveraging Eploy Flows, you can now build a visual model of the checks your Eploy system should make at the required workflow stages and statuses.
If the required conditions have not been met, you’ll get a warning message highlighting the cause of the issue - enabling you to review and correct the required information before proceeding the candidate to the next stage or status.
When creating a compliance rule you can define when the check should happen - for example at an application status, an action stage (interviews, assessment centres etc.) or perhaps at a placement status such as making a conditional offer to the candidate.
You can also define which users the compliance check applies to, e.g., Hiring Managers, System Users, or everyone.
Each compliance condition can be connected to its own configurable message which will display when the rule is triggered.
Examples of the kinds of compliance rules you can build include:
- Preventing updating a placement status if the Right to Work check has not been conducted
- Blocking a candidate from proceeding to interview if their work permit has expired
- Checking all required fields are complete before choosing to onboard or export a new starter
IMPROVED - Candidate Withdrawal
Now there’s a great way to capture why candidates have withdrawn from your process. Candidates can self-withdraw their applications in the Candidate Portal and, importantly, set a reason for their decision which you can fully track and analyse in your Eploy Dashboards.
In your recruitment workflows, at each stage, you can choose which of your existing statuses you will use for Withdrawal (or create a new one). The list of reasons is also fully configurable in the Drop Down list editor.
Then within your Eploy Dashboards, you can display visualisations that show both where candidates are withdrawing and, most importantly, why in the process.
IMPROVED - Zoom & Teams: for Multiple Slots
We’ve enhanced our Zoom and Teams integration enabling you to create meetings for multiple interview slots at once. Now, when you create slots and select ‘Multiple’ you’ll see the Zoom or Teams button - click it and all of the meetings will be scheduled for each slot automatically.
IMPROVED - Flows: Duplicate Step
We’ve enhanced Eploy Flows so that you can quickly duplicate Conditions and Forms, making it much easier to quickly build a Flow automation where you may need the same Form or Condition in multiple places. Of course, you can also configure the settings for any duplicated item if you need to tweak them.
NEW! Export Form Responses
Now you can export responses to your Discover Forms including exporting responses to application screening and feedback forms and onboarding forms.
IMPROVED - Filter Saving
Now you can save filters from around the system wherever you use Advanced Filter you can now click to save them. These can then be accessed from the View menu (View > My Filters), replacing the legacy ‘My Queries’. The dashboard widget has also been updated, enabling you to display your saved filters on your dashboards.
IMPROVED - Email Templates
We’ve reorganised the main Navigation bar in relation to Email Templates so that template management for specific parts of the system can now be found in the relevant module. For example, the email template for Candidate Consent is now accessed in the Consent Module (Admin > Consents > Candidate).
In addition, all email template editors now feature the improved interface and can include merge fields within the Subject line of the email as well as the body.
IMPROVED - Download & Print Tools
We’ve improved the download and print tools across the system enabling you to download candidate form responses, select some candidates and click the download button and choose the forms you want to download - you’ll get them in a zipped download as nicely formatted PDFs! Of course, we have permission settings enabling you to grant download access to only those users who need it.
IMPROVED - Groups
We’ve simplified and improved the Groups tool, enabling you to add descriptions to your groups to make it easy for users to understand what the Group contains, and share your Groups with other users all in one place.
In addition, the Advanced Filter has been enhanced to enable you to filter records (e.g. candidates, contacts etc) that ‘Belong to Group’.
IMPROVED - Picker Enhancements
We’ve added ‘Select All’ and ‘Clear’ options in searchable picker lists - for example, when creating Interview Slots and adding your vacancies, you can now Select All. You’ll find this feature in all searchable drop-down lists across the system.
IMPROVED - Activities in Filters
Now, when creating or editing a filter, you can search within Activities for files and forms. Say, you want to find all candidates in onboarding to find those who have completed your ‘New Starter Form’, you can now easily do so.
